ASOS are considering the opportunity to host a daytime event at London City Hall, with catering supplied by Eligo, their hospitality provider. Before ASOS confirm this event, they would like to understand the following from both the venue and hospitality provider:
- The strategic role of the event venue in delivering the event.
- The strategic role of the hospitality provider in delivering the event.
- The good practices needed in the strategic management of hospitality and event venues.
ASSIGNMENT TASK
Based on the above scenario, as a member of a team of 3 you are required to participate in a role play. You will be placed in one of two teams:
- Group A: who will represent London City Hall (event venue)
- Group B: who will represent Eligo (hospitality provider)
Within the role play, each group should present at least 2 roles and 1 good practice (one per group member) that their organisation will play in the delivery of the ASOS event.
GROUP SIZE:
You will work in groups of 3 people. No group may exceed three members under any circumstances. You will need to confirm your group membership during class in the th week of the trimester. Your lecturer will advise you on which organisation you will represent.
Role Play Simulation Length:
Group Organisation Length
Group A Event Venue 2-3 minutes per person
Group B Hospitality Provider 2-3 minutes per person
You should also be prepared for Q&A at the end of the role play from the ASOS executive board.
ASSESSMENT CRITERIA
Knowledge and understanding of strategic role and good practice played by event venues and hospitality providers in the delivery of events.
The use of evidence, statistical data and pertinent information. Up to 20 marks The professionalism and confidence in delivery including answering questions.
Roles and 1 good practice need to be explained per organisation (one per group member). When explaining the role and good practice consider for pre event, during the event and post event.
Event Venue Role
- Promotion and marketing
- Managing the venue diary and maximising yield
- Liaising with clients and contractors to ensure all event details are obtained, checked and delivered.
- Produce key event documentation.
- Set, communicate and maintain timelines
- Advise clients on feasibility, H&S regulations and venue procedures
- Monitor the venues preferred suppliers – hospitality, AV, entertainment, décor
- Financial Management – quotes, budgets and invoicing
- Manage venue contractors and staff on the day of the event
Hospitality Provider Role
- Delivering an exceptional catering experience in terms of menu selection, presentation, quality of product, portion control, speed / quality of service & dietary requirements
- Recruit, organise, train, lead and motivate the catering team (both permanent and casual)
- Ensure health standards and safety regulations are adhered to
- Maintain stock levels and order new supplies
- Liaise with clients and suppliers
- Negotiate catering contracts with clients
